Senior Statutory Administrator

Our client is a leading independently owned family office, recognised as the largest in Europe, the Middle East, and Africa. With a strong focus on providing comprehensive services, they cater to over 250 families of wealth, delivering everything from long-term strategic planning to day-to-day administration. The Senior Statutory Administrator will be an integral part of the Fiduciary Services Team, responsible for all facets of statutory administration for multi-jurisdictional trusts and companies. This role encompasses the full lifecycle of entities, including incorporation and liquidation, along with the imperative task of ensuring statutory compliance and operational support across various jurisdictions. The position requires frequent liaison with team members across multiple departments, fostering a collaborative work environment.

Job Duties:

  • Perform all aspects of statutory administration from company incorporation through to liquidation, including:
  • Incorporations, name reservations, and drafting of Memorandum and Articles of Association
  • Liquidations, dissolutions, and migrations (in and out of jurisdiction)
  • Changes to directors, shareholders, registered office/agent, and company name
  • Maintenance and filing of Registers of Directors, Charges, and Beneficial Ownership
  • Preparation and submission of Annual Returns, Confirmation Statements, and other statutory filings
  • Drafting and filing of minutes, resolutions, and statutory declarations
  • Maintain company records, including due diligence, beneficial ownership registers, and seal registers
  • Prepare, issue, and maintain share certificates and related statutory documents
  • Arrange for notarisation and apostille of documents as required
  • Process and reconcile statutory payments, including agent fees, registry charges, and credit card disbursements
  • Manage portal-based filings and ensure all documents are submitted on time, meeting deadlines
  • Support compliance workflows, including risk and annual client reviews, tax residency checks, and FSA returns
  • Draft and maintain statutory procedures, ensuring updates on internal systems
  • Liaise with clients, professional advisors, intermediaries, registered agents, and Key Account Managers
  • Provide administration support to team members and assist with in-house and group client matters
  • Coordinate with legal, finance, and IT teams to ensure statutory requirements are met
  • Draft external director responsibility letters and other jurisdiction-specific attestations as required
  • Run and review group and management reports, including ad-hoc statutory and compliance reports
  • Participate in ad-hoc projects and support new business processes, including entity onboarding and closure workflows
  • Follow policies and procedures, contributing to risk mitigation and continuous improvement
  • Demonstrate understanding of transactions and maintain files accurately
  • Work independently while contributing to a team environment
  • Stay updated with jurisdictional changes and statutory requirements

Job Requirements:

  • Minimum of 4 years’ experience in statutory administration of multi-jurisdictional companies; trust administration experience is advantageous
  • Strong knowledge of statutory requirements in the Isle of Man, UK, BVI, and other relevant jurisdictions
  • Ability to work as part of a team and effectively communicate with clients, staff, and management across various jurisdictions
  • Highly organised with systematic work methods and keen attention to detail
  • Excellent client relationship skills and an international outlook
  • Strong prioritisation and planning skills to manage a challenging workload
  • Contribute to team ethos and collaboration
  • Computer literate with a good understanding of MS Office
