Senior Administrator, Regulatory Business

Our client offers innovative private client, corporate, and fund administration services tailored to their clients' needs. In this key role, the Senior Administrator will contribute significantly to the business by supporting client take-on processes related to due diligence matters and regulatory applications while ensuring ongoing monitoring of CDD and regulatory obligations. The position involves attending internal meetings and preparing accurate and timely meeting minutes and requisite documentation. This role is essential for enhancing the reputation of our client as a client-focused business that consistently meets and exceeds client expectations. The Senior Administrator will provide support to the Manager and will work collaboratively with the Regulatory Business team, engaging effectively across the wider organisation and with colleagues in other jurisdictions. This is a full-time position that combines teamwork with the capacity for independent contribution.

Job Duties:

  • Conducting regulated business tasks for new and existing clients and investors, including due diligence for new client take-on and new investor application reviews.
  • Preparing documentation for the new business acceptance committee and attending meetings as required, drafting clear and accurate meeting minutes.
  • Undertaking continued due diligence and ongoing monitoring, including PEP and sanction reviews and periodic client and investor reviews.
  • Managing due diligence requests, correspondence, research, and document recording.
  • Assisting clients with queries in a timely and efficient manner.
  • Liaising with Client Teams to ensure all due diligence reviews and requests are addressed methodically and within required timeframes.
  • Drafting regulatory applications, forms, and submissions via the online portal or other appropriate methods.
  • Collating information for the preparation and submission of regulatory and other returns to the GFSC or relevant third parties.
  • Assisting with routine company secretarial-related tasks, including basic statutory filings, document collation, and coordination with the company secretarial team.
  • Remaining up to date with jurisdictional statutory and regulatory changes that may impact clients, processes, and requirements.
  • Completing and recording time accurately in the time billing system on a daily basis.
  • Undertaking any other duties as required in line with the role, team objectives, and the evolving nature of the function.
  • Demonstrating and adhering to the organisation’s values in all aspects of the role.

Job Requirements:

  • General experience in a similar role within the finance industry.
  • Knowledge of and experience working with GFSC regulations and the AML Handbook.
  • May hold or want to work towards a Compliance or AML qualification.
  • Possesses a “can do" attitude to help the team achieve results.
  • Knowledge of collective investment schemes, and familiarity with the GFSC Licensee/Fund Rules.
  • Effective communication skills, both verbally and in writing, with clients and colleagues.
  • An enquiring mind, capable of questioning, researching, applying, and sharing learning.
  • Practical experience of Microsoft Excel and Word at a beginner level.
  • Comfortable with technology and able to adapt to various bespoke systems and online platforms.
  • Strong organisational skills and ability to meet deadlines.
  • Understanding of the importance of consistently delivering high standards in a customer service role.
