Temporary Clinical Administrator - 3 months

Our client is seeking a temporary Clinical Administrator for a three-month contract, with the possibility of extension based on performance and need. This role requires individuals who are committed to delivering a high-quality, patient-centred administrative service whilst collaborating closely with key stakeholders from various healthcare providers. The successful candidate will be responsible for overseeing the processing of clinical correspondence and providing exceptional support to Consultants through the AI scribe platform. The position will be based at our client's premises within the Outpatient Administration department. The ideal candidate should possess proven organisational skills and demonstrate a commitment to high standards of service delivery.

Job Duties:

  • Review and quality-check clinical correspondence generated by the AI platform, ensuring completeness and compliance with organisational standards.
  • Manage the production flow of clinical documentation, including preparation and formatting of patient letters using approved digital templates.
  • Highlight correspondence requiring further clinical input from the Consultant using agreed naming conventions.
  • Communicate dictated messages to the relevant administrative staff for action.
  • Regularly monitor AI queues and ensure correspondence is processed in line with KPIs, reporting any areas of concern.
  • Save transcribed correspondence correctly in accordance with the corporate file saving standard and ensure copies are printed for medical records.
  • Send completed letters via e-correspondence to GPs.
  • Participate in the ongoing optimisation of digital documentation workflows, providing feedback to the project team and contributing to the development of templates and processes.
  • Respond to internal and external queries as required.
  • Generate and update protocols, guidelines, and standard operating procedures as necessary.
  • Assist colleagues and management with projects and ad-hoc tasks as appropriate.
  • Provide cover for colleagues during periods of leave to ensure continuity of service.
  • Undertake any other duties reasonably required to support the organisation’s objectives.

Job Requirements:

  • Proven organisational and administrative skills with the ability to manage a varied workload effectively.
  • Experience using digital tools in a healthcare or similar environment.
  • Ability to review, edit, and assure quality of medical documentation.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Excellent written and verbal communication skills, demonstrated through effective relationship building.
  • Professional, discreet, and empathetic approach in all interactions.
  • Positive attitude, integrity, and resilience, with a commitment to high standards of work.
