This role involves joining a Client Services team within a regulated Trust and Corporate Service Provider based in the Isle of Man. The successful candidate will be responsible for the comprehensive administration of a portfolio consisting of trust and associated company structures, ensuring that high-quality client service is delivered while adhering to the regulatory and legislative requirements specific to the Isle of Man. Candidates should possess existing experience in trust and company administration, with an eagerness to further their technical and professional expertise within a well-governed fiduciary environment. This is a full-time position, and the role encompasses various responsibilities that promote governance, risk management, and client satisfaction.
Job Duties:
- Administer a complex portfolio of trusts, companies, and associated structures according to trust deeds, constitutional documents, internal procedures, and applicable legislation.
- Prepare and arrange the execution of trustee resolutions, board minutes, written resolutions, and other corporate and trust documentation.
- Manage correspondence and communications with clients, beneficiaries, professional advisers, and third-party service providers.
- Maintain accurate and up-to-date client records across internal systems.
- Support the establishment of new structures and the orderly wind-up of existing entities where required.
- Act as the day-to-day point of contact for clients and intermediaries, ensuring queries are handled efficiently and professionally.
- Assist with client onboarding and ongoing reviews, including the collation of client due diligence (CDD).
- Support team members in delivering a high standard of client service and meeting agreed service levels.
- Ensure all activities comply with the Isle of Man regulatory framework, including AML/CFT, sanctions, and internal risk policies.
- Prepare documentation to support regulatory filings, reviews, and inspections as required.
- Escalate risk, compliance, or technical issues to senior colleagues in a timely and appropriate manner.
- Assist with periodic client file reviews, including 90-day and ongoing monitoring reviews.
- Review draft invoices and assist with billing processes in line with agreed fee arrangements.
- Assist with payment processing, ensuring appropriate approvals and supporting documentation are in place.
- Liaise with accounts teams and external accountants regarding trust and company accounting matters.
Job Requirements:
- Proven experience in trust and/or company administration within a regulated fiduciary or TCSP environment.
- Sound working knowledge of trust and company administration processes.
- Understanding of Isle of Man regulatory requirements, including AML/CFT obligations.
- Strong organisational skills with attention to detail and the ability to manage multiple priorities.
- Clear and professional written and verbal communication skills.
- Relevant professional qualification (e.g. STEP, CGI or equivalent) is desirable.
- Experience administering a range of trust structures and asset types is advantageous.
- Familiarity with internal systems used within fiduciary environments is preferred.
