Statutory Administrator, Trust & Company Services

An experienced Statutory Administrator is sought to join the Client Services team within a regulated Trust and Corporate Service Provider based in the Isle of Man. This full-time role focuses on the statutory administration, governance, and regulatory filings for a portfolio of trusts and companies in the Isle of Man. The individual will leverage strong technical knowledge of statutory obligations and best practice record-keeping to ensure compliance with all applicable regulatory and legislative requirements. The role will also involve interfacing with various stakeholders and contributing to the overall governance of the entities. The successful candidate will ensure all statutory deadlines are met while supporting various lifecycle events for companies and trusts. This position requires strong organisational skills and attention to detail, as well as the ability to communicate effectively with clients and third-party service providers.

Job Duties:

  • Maintain statutory records for trusts and companies, including registers of members, officers, charges, and beneficial ownership.
  • Prepare, review, and file annual returns and statutory filings with the Isle of Man Companies Registry and other relevant authorities.
  • Monitor, diarise, and ensure compliance with all statutory deadlines across the portfolio.
  • Draft and maintain board minutes, written resolutions, shareholders’ resolutions, and trustee resolutions in line with applicable legislation.
  • Support entity lifecycle events including incorporations, amendments, re-registrations, continuations, and liquidations.
  • Ensure compliance with Isle of Man Financial Services Authority requirements related to statutory administration and governance.
  • Facilitate periodic client and entity file reviews to ensure statutory records and filings are complete.
  • Assist with regulatory inspections, audits, and information requests pertaining to statutory records.
  • Liaise with internal compliance teams on AML/CFT, sanctions, and ongoing monitoring affecting statutory records.
  • Act as a point of contact for statutory matters with clients, directors, trustees, professional advisers, and third-party service providers.
  • Respond promptly and accurately to statutory and governance-related enquiries.
  • Liaise with lawyers, accountants, and registrars concerning statutory changes and filings.
  • Ensure all statutory documents and filings are accurately recorded on internal systems.
  • Maintain orderly statutory files in accordance with internal policies and regulatory expectations.
  • Identify process improvements to enhance statutory compliance and efficiency.

Job Requirements:

  • Significant experience in statutory administration within an Isle of Man Trust and Corporate Service Provider, fiduciary, or professional services environment.
  • Strong understanding of Isle of Man company law and trust governance requirements.
  • Proven experience in preparing and submitting statutory filings and maintaining statutory registers.
  • High attention to detail coupled with excellent organisational and deadline-management skills.
  • Strong written and verbal communication skills.
  • Desirable experience in supporting trust and corporate statutory matters within complex structures.
  • Familiarity with Isle of Man registry processes and regulatory expectations.
  • Relevant professional qualification or progress towards one (e.g. CGI, STEP or equivalent).
