The Manager will be responsible for providing administration and company secretarial services for a range of new and established clients in the real estate and private equity sectors. This full-time position entails working closely with clients and external parties, proactively managing expectations and ensuring timely delivery of services. The role requires a deep understanding of fund structure mechanics and process, alongside an ability to problem solve and handle more complicated requests. The ideal candidate will demonstrate strong leadership skills by managing junior team members, ensuring team deadlines and performance indicators are met, and creating a cohesive culture within the business. There is a focus on quality control and compliance with both internal and external deadlines, as well as the opportunity to lead various fund-related activities and administrative functions.
Job Duties:
- Familiarise with company policies and procedures, including relevant checklists.
- Demonstrate technical knowledge on fund structure mechanics and processes, and act as the first point of contact for complex requests.
- Develop and maintain strong, long-lasting relationships with clients and external parties.
- Monitor client mailboxes and manage junior team members' workloads to identify and delegate priority tasks effectively.
- Ensure team deadlines and key performance indicators are met, acting as a key reviewer for quality control.
- Create a cohesive culture between teams within the business.
- Line manage junior team members and provide coaching and relevant training.
- Collaborate with senior leaders to ensure smooth onboarding of new business.
- Review and authorise treasury functions (payments, incoming funds, bank openings) within sign off levels promptly and accurately.
- Oversee the scheduling of board meetings and ensure timely preparation of agendas, board packs, and minutes.
- Review regulatory/statutory submissions, ensuring compliance with internal and external deadlines.
- Actively lead fund activities including fund closings, transfers of interest, investment transactions, and winding up processes.
- Ensure administration agreements capture all variable/chargeable fees for client portfolios, raise quarterly invoices aligned with internal deadlines, and ensure timely settlement.
- Liaise with external parties, including investment managers, legal firms, and banking providers.
- Assist or lead on projects, ensuring deadlines are met and training is effectively delivered.
- Undertake any other tasks or ad-hoc duties as necessary.
Job Requirements:
- Educated to at least ‘A’ level standard or equivalent.
- Holding or working towards the CGI Diploma or similar, or willing to study for a relevant professional qualification.
- A minimum of 5 years of demonstrable fund administration experience.
