Senior Administrator, Trust & Corporate

This role is focused on delivering exceptional client administration for a complex portfolio of client trust and company structures while providing oversight and support to the Trust & Corporate team as needed. The job holder will closely liaise with colleagues within the Trust & Corporate team, alongside clients and intermediaries. The position covers all dimensions of managing a portfolio of company and trust structures efficiently. Key responsibilities include maintaining and building strong relationships with clients, ensuring timely communication and support, and preparing necessary documentation for meetings. A successful candidate will also assist with client onboarding as well as manage billing and financial accounts reviews. This is a full-time role based in the Isle of Man.

Job Duties:

  • Administer a diverse portfolio of entities, ensuring high-quality service delivery.
  • Maintain and strengthen relationships with clients and intermediaries through effective communication.
  • Prepare for and attend client meetings, including post-meeting file notes and board minutes when necessary.
  • Support client onboarding for new businesses and manage terminations and transfers efficiently.
  • Assist the accounts and bookkeeping team with resolving any queries.
  • Review financial accounts and investment portfolio performance in accordance with company procedures.
  • Present transactions to the Material Transaction Committee as required.
  • Oversee client billing, work-in-progress reviews, invoicing, and collections.
  • Maintain up-to-date knowledge of regulatory requirements and internal procedures.
  • Complete outstanding action points in a timely manner.

Job Requirements:

  • 3-5 years' experience in an administrative role within Fiduciary Services.
  • Working towards or willing to study for a relevant professional qualification (e.g. STEP, CGI, ACCA).
  • Good understanding of the fiduciary services business and its regulatory framework.
  • Proficient IT skills, including practical experience with Microsoft Outlook, Word, and Excel.
  • Experience with client servicing packages such as Viewpoint would be advantageous.
  • Strong written and verbal communication skills.
  • Ability to work accurately with great attention to detail.
  • Flexible attitude towards work and a willingness to assist team members.
  • Excellent time management, prioritisation, and organisational skills.
  • Demonstrates drive, ambition, and a willingness to learn.
  • Proactive approach to work with the ability to work independently.
