Administrator, Dispute Resolution

This role involves providing timely and accurate administrative and secretarial support to Partners, fee earners, and colleagues within the department. The Administrator in Dispute Resolution will be responsible for undertaking additional tasks as required to aid the department. The position offers a varied workload that includes managing diaries, preparing documentation, and interacting with clients. Key duties include updating court lists, processing client inquiries, and maintaining confidentiality regarding client information. The ideal candidate should possess previous experience in an administrative or secretarial role, ideally within the legal sector. This role requires someone who can manage their time efficiently and handle competing requests effectively. Attention to detail and high standards of client care are paramount, as is compliance with the organisation’s policies and procedural standards.

Job Duties:

  • Provide administrative support including updating diaries and notifying Partners of upcoming meetings and court dates.
  • Prepare paperwork for meetings and court appearances.
  • Update department court lists and process client inquiries.
  • Prepare records, files, and terms of business letters for clients, ensuring all documents are signed and returned.
  • Process Acts of Court by copying, signing off, diarising, and filing.
  • Handle telephone calls, take notes for client files, and draft emails and letters.
  • Conduct initial appointments with clients to undertake due diligence.
  • Support with scanning, photocopying, filing, and updating disclosure files.
  • Prepare court bundles and conduct financial assessments for legal-aid clients.
  • Exercise high standards of client care and maintain confidentiality of all client documentation and information.
  • Achieve billing and time recording targets and ensure compliance with accounting requirements.
  • Liaise with credit control regarding client matters as needed.
  • Foster good working relationships with clients, external organisations, and colleagues.
  • Promote the services and ethos of the organisation actively.
  • Adhere to the Client Charter and undertake any other assigned tasks as required.

Job Requirements:

  • Qualified to GCSE level or equivalent.
  • Previous experience in an administrative and/or secretarial role, preferably within the legal sector.
  • Strong literacy and numeracy skills for day-to-day operations.
  • Proficient in computer use with basic knowledge of related technology.
  • Understanding of legal language, processes, and practice.
  • Disciplined in time recording, billing, and following up on outstanding payments.
  • Strong planning and organisational skills to achieve goals.
  • Ability to work collaboratively, prioritising client satisfaction.
  • Flexibility in handling multiple and competing requests for work.
