Administrator, Operations & Business Support

This role involves becoming a key part of the Operations and Business Support team, providing essential operational support to the Fiduciary Services business. The position requires assistance in managing statutory data within the core database and updating the Guernsey Registry in compliance with regulatory deadlines. The post holder will play a vital role in ensuring the implementation of processes and procedures that monitor and mitigate operational and AML/CFT risk. Collaboration with other departments is crucial to guarantee the accuracy and compliance of key data with regulatory obligations. The responsibilities also include data processing, audit reporting, and managing requests for information from banks. The successful candidate will assist with company secretarial duties and various projects as they arise.

Job Duties:

  • Assist in data reconciliation and exception reporting, including weekly audit reports.
  • Manage statutory data on the core database (Acumen).
  • Action tasks and workflows, and participate in projects to reduce outstanding tasks.
  • Set up contact cards on the database.
  • Cover for Guernsey Registry submissions and management of related data.
  • Administer banking platforms and respond to information requests from banks.
  • Maintain statutory records for in-house companies.
  • Prepare documentation for Annual Validation filing deadlines.
  • Provide assistance with company secretarial duties for in-house companies.
  • Collaborate on various projects as they arise.

Job Requirements:

  • Minimum of 3 years' relevant experience.
  • Educated to 'A' Level standard or equivalent.
  • Willingness to study for or already hold a relevant professional qualification (e.g., STEP or CGI).
  • Experience in Guernsey Trust and Company administration.
  • Knowledge of using the Guernsey Registry.
  • Basic experience in Guernsey Company secretarial duties.
  • IT literacy, particularly in Excel and Word.
  • Excellent organisational skills with a focus on detail and accuracy.
  • Strong analytical abilities.
  • Understanding of risk awareness and regulatory reporting requirements.
  • Strong communication and interpersonal skills.
  • Team-oriented with the ability to maintain confidentiality.
