Assistant Administrator, Fund Services

This role is focused on providing proactive and detailed administrative support in the fund administration services for a portfolio of client funds and investment structures. The Assistant Administrator will assist a collaborative team with various administrative, client servicing, and operational activities while enhancing their understanding of fund administration and financial services regulatory requirements. The position is designed for individuals seeking to establish a long-term career within the fund administration sector. Responsibilities include day-to-day administration of client funds, responding to routine client inquiries, and maintaining documentation. Job Duties:

  • Support Fund Administrators with day-to-day administration of client funds and investment structures.
  • Develop an understanding of governing documents, agreements, and regulatory requirements for client entities.
  • Act as a point of contact for allocated matters under supervision, addressing routine client and third-party queries while escalating complex issues when necessary.
  • Prepare and maintain accurate records, correspondence, meeting packs, minutes, and additional documentation.
  • Assist with periodic client reviews, ensuring client files and records are up to date.
  • Support tax-related activities, including preparing and submitting returns as well as payment of tax liabilities.
  • Identify and escalate any issues, risks, or concerns promptly to management.
  • Maintain accurate databases, statutory, and client records, ensuring timely updates.
  • Assist with accounting and financial administration activities in close collaboration with internal teams.
  • Support the billing process by preparing and reviewing draft invoices and billing information.
  • Monitor outstanding debts and liaise with internal stakeholders for effective debt management.
  • Provide support to colleagues during absences and ensure smooth handover of client matters.
  • Contribute to additional tasks and projects as requested by the Manager or Directors.

Job Requirements:

  • Educated to A-Level, degree level, or equivalent.
  • Willingness to pursue a relevant professional qualification.
  • Strong administrative and organisational skills with excellent attention to detail.
  • Good written and verbal communication skills, building positive working relationships with colleagues, clients, and external stakeholders.
  • Proficient IT skills, including Microsoft Office applications.
  • Previous office or administrative experience is advantageous; however, experience in fund or trust administration is not essential.
  • Interest in financial services and commitment to developing technical knowledge within a regulated environment.
  • Positive and flexible approach with a strong desire to learn professionally.
  • Strong interpersonal skills to work effectively both independently and as part of a team.
  • Proactive, solutions-focused mindset with confidence to seek guidance and escalate issues appropriately.
  • Good time management skills, able to manage multiple tasks and meet deadlines.
  • Commitment to delivering high-quality service and continuous improvement.
