Our client is seeking a Junior Administrator to join their Private Clients team in Guernsey on a full-time basis, working Monday to Friday in a hybrid role. The Junior Administrator will support the daily administration of a portfolio of trust and company structures, ensuring accurate and timely delivery of work in line with Client Service Agreements, internal procedures, and relevant laws and regulations. This position is ideal for someone who is detail-oriented, client-focused, and looking to establish a career in fiduciary services. You will collaborate closely with colleagues across the organisation to advance client instructions and maintain exceptional service standards.
JOB DUTIES:
- Assist with the administration of a portfolio of trusts and companies, ensuring all assigned activities are completed accurately and on time.
- Prepare routine correspondence and administrative documentation to support day-to-day client service delivery.
- Liaise professionally with beneficiaries, bankers, auditors, lawyers, agents, property advisers, and internal teams (including tax and accounts) to progress client matters.
- Maintain accurate and complete client records and documentation in accordance with internal controls and regulatory requirements.
- Support fee processes, including the administration of invoicing and assisting with the collection of outstanding debtors as required.
- Coordinate with the Accounts Team to support the annual accounts process for trusts and companies.
- Promptly action compliance and review points, escalating issues and risks as appropriate.
- Contribute to a culture of communication, teamwork, and information sharing, participating in continuous improvement initiatives for team processes.
JOB REQUIREMENTS:
- Demonstrate strong attention to detail, organisational skills, and time management capabilities, with a proven ability to meet deadlines.
- Exhibit strong written and verbal communication skills, maintaining a professional and client-focused approach.
- Be competent in using Microsoft Office and show confidence in learning internal systems and processes.
- Possess the ability to work collaboratively and build effective relationships with both internal and external stakeholders.
- Exposure to trust and company administration, private client services, or fiduciary operations.
- Experience supporting compliance activities, periodic reviews, or maintaining audit-ready files in a regulated environment.
- Willingness to pursue a relevant professional qualification (e.g., STEP, CGI/ICSA, or equivalent) with support from the organisation where applicable.
- Experience assisting with billing, fee collection, or debtor management processes.
