Our client is seeking an Office Manager to join their team in St Peter Port, Guernsey. This permanent position involves working 36.25 hours per week, offering a blend of administrative and operational support to key stakeholders and the wider office. The successful candidate will play a crucial role in calendar management, meeting coordination, travel arrangements, event planning, and drafting internal communications. You will collaborate closely with the remote Facilities team to facilitate the smooth daily operation of the office, ensuring a high standard of service excellence to internal and external clients.
JOB DUTIES:
- Be available to cover front of house and client suite duties, providing flexibility for planned and unplanned absences.
- Manage telephone communications using the MS Teams system, directing calls appropriately.
- Oversee hospitality requests, confirming light refreshments and food orders through the Cloudbooking system.
- Ensure meeting rooms are prepared for occupants, checking that equipment is functioning and reporting any issues, while also assisting in ordering necessary consumables for the client suite.
- Welcome clients, issue visitor passes, and register incoming mail.
- Assist in the organisation of events in Guernsey and elsewhere as required.
- Support the processing of company credit card expenses, invoices, and travel arrangements, ensuring accurate recording and disbursement of fees related to client work.
- Report on front of house activities as required.
- Communicate with the remote Facilities team to ensure prompt resolution of office facilities matters.
- Work with the Business Support Manager in Jersey to facilitate office initiatives, health and wellbeing activities, and social events for the Guernsey office.
- Complete necessary forms in a timely manner for the starter and leaver processes.
- Provide administrative support to Operations, HR, and Facilities as needed.
- Support day-to-day operations and provide line management to a team member.
- Assist in planning, coordinating, and delivering Business Development events, ensuring accurate updates to CRM systems.
- Perform any other reasonable tasks associated with the role, assisting colleagues as necessary.

- Strong IT skills, with proficiency in Windows applications, particularly Excel and Word.
