Senior Yacht Ownership Administrator

Our client is seeking a full-time Senior Yacht Ownership Administrator to join their Yacht Services team in Guernsey. This role is essential in supporting the day-to-day administration for yacht ownership, ensuring a seamless experience for clients, captains, and crew. As a Senior Yacht Ownership Administrator, you will provide comprehensive administrative support, handling yacht sales, purchases, charters, insurance arrangements, invoicing, and daily communications. This position offers an opportunity to work in a fast-paced and rewarding environment, allowing you to engage with a variety of global clients while formulating effective long-term solutions for both private and commercial yacht owners.

JOB DUTIES:

  • Prepare letters and documentation for various stakeholders.
  • Draft minutes and resolutions, including Power of Attorneys (POAs), ensuring proper logging and filing using the Document Management System (DMS).
  • Manage the Ownership calendar, maintaining a central diary reminder system to track key recurring and non-standard tasks while issuing reminders to relevant staff.
  • Assist in onboarding clients or transfers from other corporate service providers by coordinating the Onboarding Checks and compiling the Relationship Permanent File for new cases.
  • Screen and rationalise matches prior to client onboarding.
  • Maintain accurate data on internal systems and platforms.
  • Coordinate the preparation and renewal of various Yacht Ownership documents.
  • Prepare Beneficial Owner Declarations and Certificates of Incumbency for various counterparties.
  • Collate minutes relating to Overseas Providers of Registered Office/Registered Agent (RORA) services.
  • Update Enterprise Resource Planning (ERP) systems with client changes and ensure management of key activities for new, existing, and closing clients.
  • Administer the Yacht Services Guernsey Statutory Book, including tasks related to non-Yacht Ownership clients.
  • Carry out additional administrative tasks relevant to the team and comply with statutory requirements in Guernsey.

JOB REQUIREMENTS:

  • Previous experience in a corporate and fiduciary role, particularly within a Trust and Corporate background, is desirable.
  • Familiarity with compliance and regulatory requirements.
  • Process-driven approach, demonstrating the ability to review and enhance internal policies and procedures.
  • Knowledge of yachts is an advantage, although not essential.
  • Strong organisational and time management skills to handle multiple priorities effectively.
  • Excellent communication skills, both written and verbal, to interact with clients and colleagues.
  • A proactive approach to problem-solving and a willingness to learn.
  • The ability to work collaboratively within a team while fostering an open and respectful working environment.
