  • Coordinate and oversee the Client Administrator’s daily workflow, including task allocation, prioritisation, training, and quality review, serving as the first point of escalation for operational issues.
  • Prepare and review documentation for trust and corporate transactions, which includes distributions, payments, dividends, banking matters, and resolutions, ensuring they are ready for jurisdictional review and approval.
  • Support the ongoing administration and governance of trust and corporate structures, maintaining accurate statutory, governance, client, and entity records in compliance with applicable requirements.
  • Lead the preparation and coordination of pre-review and periodic file reviews, addressing outstanding documentation and tracking remediation actions to completion.
  • Assist with new business onboarding and entity closures, including coordination of client acceptance documentation, Know Your Customer (KYC) processes, and compliance information.
  • Ensure the accuracy and completeness of client and entity data in NAVOne, proactively identifying and rectifying data inconsistencies.
  • Support FATCA/CRS reporting processes and coordinate regulatory information requirements as needed.
  • Maintain electronic client and entity records according to Records Management Policies and Procedures.
  • Monitor recurring workflows and operational deadlines, preparing communication and follow-up activities related to aged debts, billing matters, and credit notes as required.
  • Contribute to operational projects, process improvements, and procedure development, fostering efficient working practices across teams.

Job Requirements:

  • Relevant experience in trust, corporate, fiduciary, or professional services administration, ideally within a regulated environment.
  • Strong practical understanding of trust and company administration, governance, statutory records, and compliance-related administration.
  • Experience guiding, training, and overseeing junior administrators, with the ability to review work and manage priorities effectively.
  • Exceptional attention to detail and sound judgement, capable of identifying control issues requiring escalation.
  • Excellent organisational and prioritisation skills, with the capability to manage multiple workflow requirements.
  • Clear and professional written and verbal communication skills, essential for engaging with colleagues globally.
  • Proficiency in electronic document management and client administration systems; familiarity with NAVOne and Laserfiche is advantageous.
  • Dependable, collaborative, and committed to maintaining accuracy and confidentiality.
