Temporary Transfer Agency Senior / Administrator - 6 months

Our client is seeking a Senior Administrator to join their Transfer Agency team on a full-time basis in the Channel Islands. This role will support with set-up, onboarding, and ongoing transfer agency administration for a variety of complex offshore funds. The successful candidate will be accountable for the accurate and timely delivery of transfer agency services in line with internal controls, regulatory requirements, and client Service Level Agreements. This includes handling trades, reconciliations, reporting obligations, and investor communications, while collaborating closely with internal departments and external service providers.

Job Duties:

  • Prepare and deliver transfer agency functions and reporting in an accurate and timely manner
  • Ensure all deliverables are completed in accordance with Service Level Agreements
  • Liaise with fund managers, custodians, auditors, depositaries, and other external parties
  • Process, validate, and release trades in accordance with documented procedures
  • Complete internal and external reporting including dashboards and KPIs
  • Prepare and process fund distributions and ensure timely delivery
  • Resolve investor and client queries within agreed timeframes
  • Maintain and update shareholder registers and investor files
  • Distribute shareholder statements and investment management reports
  • Reconcile cash accounts on a daily basis
  • Prepare audit requests and support audit processes
  • Assist junior team members and contribute to training and job rotation
  • Support fee billing preparation in line with deadlines
  • Propose and support implementation of solutions to resolve operational issues
  • Participate in system developments and user acceptance testing
  • Promote positive relationships with internal teams and external partners
  • Understand client fund structures and their operational requirements
  • Work with operational risk teams to mitigate and report risk incidents
  • Assist with FATCA and AEOI investor reporting
  • Review procedures and support the control framework
  • Support new business onboarding and help define and document new processes
  • Read and understand new client procedures and fund documentation

Job Requirements:

  • Minimum of 2 years’ experience within transfer agency
  • In-depth knowledge of transfer agency operations, including property funds
  • Excellent understanding of offshore fund compliance and regulatory frameworks
  • Strong working knowledge of Microsoft Office, especially Excel, Word, and OneNote
  • Experience with MultiFonds TA or similar platforms
  • Ability to manage and mitigate risk across operational tasks
  • Strong analytical and problem-solving skills
  • High level of accuracy and attention to detail
  • Ability to manage workload and meet deadlines under pressure
  • Excellent written and verbal communication skills
  • Proven ability to work independently and as part of a team
  • Commitment to completing 25 hours of CPD annually
