Our client is seeking an experienced and proactive General Office Manager to join their team on a part-time, permanent basis in Jersey. This stand-alone role involves overseeing the day-to-day operations of the office and providing high-level administrative and executive support to the Head of Location. The successful candidate will work 20 hours per week, Monday to Friday from 9am to 1pm, with no remote working.
Job Duties:
- Act as the first point of contact for all internal and external stakeholders, maintaining a professional and welcoming environment
- Provide general administration and facilities support, including vendor management, meeting room bookings, visitor management, and hospitality arrangements
- Organise weekly office breakfasts and lunches using local providers
- Fulfil the duties of Health & Safety Officer and Fire Marshal for the office
- Support the Head of Location and CEO with diary management, meeting scheduling, travel arrangements, expense processing, and corporate event planning
- Prepare, edit and format documents, reports, and presentations in line with company standards
- Manage and prioritise a range of tasks including calendar coordination and administrative duties across departments
- Identify and implement process improvements to streamline administrative tasks
- Undertake ad hoc projects and responsibilities as requested
- Provide flexible support to the office, occasionally assisting with afternoon or evening events
Job Requirements:
- Significant experience in an Office Manager or Executive Assistant role within a financial or professional services environment
- Excellent interpersonal skills, able to engage with stakeholders at all levels across international offices
- Strong organisational and prioritisation skills, with the ability to manage multiple deadlines
- High level of initiative, independence and attention to detail
- Proficiency in Microsoft Office, particularly Outlook and calendar management
- Discreet, professional, and reliable, with the ability to handle confidential information appropriately
- Collaborative team player with a flexible and proactive approach
- Strong written and verbal communication skills
- Adaptable, resilient, and eager to learn
