Telephonist - PT 20hrs

Our client is seeking a Part-Time Telephonist who will be accountable to the Partners and Management Team under the supervision of the Practice Manager and Unit Head. The Telephonist will be responsible for answering all telephone calls made to the surgery premises, ensuring a smooth and courteous transition of calls. The successful candidate will possess strong communication skills and a professional demeanour, as they will be the first point of contact for patients. This role will include managing requests for home visits and appointment scheduling using an in-house computerised GP system. Individuals will also update patient databases, record results received from Pathology, and handle daily post. Additionally, candidates must adhere to practice policies regarding confidentiality, health and safety, and safeguarding. The position is part-time, comprising 20 hours per week, and requires flexibility for covering additional hours as needed.

Job Duties:

  • Answer all incoming calls to the surgery on the main switchboard and deal with them appropriately.
  • Manage requests for patient home visits and ensure they are directed to the correct on-call duty doctor.
  • Make patient appointments on the in-house computerised GP system.
  • Direct patients’ requests to the relevant doctors’ Secretary/PA.
  • Update patient databases on the computerised GP system.
  • Record INR results in a designated folder when received and inform patients of their results.
  • Handle the daily incoming and outgoing post.
  • Adhere to patient/staff confidentiality and data protection policies.
  • Ensure compliance with health and safety policies, including first aid, fire regulations, and disability awareness.
  • Respect the privacy, dignity, and rights of patients, carers, and colleagues.
  • Work within the guidelines of the Practice’s safeguarding policy.

Job Requirements:

  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and manage multiple tasks.
  • Familiarity with computerised GP systems (training will be provided).
  • Strong commitment to patient confidentiality and data protection.
  • Flexibility to cover additional hours, including weekends and bank holidays as needed.
  • Willingness to participate in full in-house training during a 3-month probationary period.
