Receptionist / Telephonist - PT 25hrs

Our client is seeking a dedicated Receptionist / Telephonist to provide essential reception and telephone duties within their surgery. This part-time role, encompassing 25 hours per week, involves a flexible schedule with a mix of set mornings and afternoons. The position is accountable to the Partners and Management Team and will be under the supervision of the Practice Manager, Unit Head, and Senior Secretary. The successful candidate will assist with directing patients to consulting rooms, managing appointments via the in-house computerised GP system, and dealing with patient requests and queries effectively. Additional responsibilities include processing payments, handling travel vaccinations, and maintaining patient databases. This role requires a proactive individual capable of multitasking and managing various administrative and telephonic duties while assisting the senior medical staff as needed. Training and induction will be provided, and the ability to adapt to changing demands within the Practice is essential.

Job Duties:

  • Receive patients and direct them to consulting rooms as appropriate.
  • Make patient appointments on the in-house computerised GP system.
  • Process payments from patients and record them on the billing system.
  • Handle patient queries and direct them to the appropriate personnel when necessary.
  • Manage travel vaccination requests and create relevant invoices.
  • Update patient databases on the in-house computerised GP system.
  • Ensure completion of blood forms for the nurse.
  • Assist with secretarial tasks, including liaising with doctors, scanning documents, and completing patient forms.
  • Perform general office duties such as photocopying, managing supplies, and dealing with daily posts.
  • Complete patient blood test forms and maintain statistical data during quieter times while manning the reception desk.
  • Answer all incoming calls and manage requests for home visits, ensuring they reach the correct GP.
  • Transfer surgery calls from the Central Telephone Answering Service as required.
  • Generate repeat prescriptions and update patient databases as necessary.
  • Photocopy medical records, assist with editing documents, and manage orders of consumables.

Job Requirements:

  • Proven experience in a reception or telephonist role, preferably in a healthcare setting.
  • Familiarity with computerised operational systems, particularly in medical practices.
  • Excellent communication and interpersonal skills to interact with patients and staff effectively.
  • Ability to maintain confidentiality and adhere to data protection policies.
  • Strong organisational skills and the capability to multitask in a busy environment.
  • Flexible with working hours and able to cover additional shifts as required.
