Temporary Operations Assistant, Document Management - 12 months

Our client is seeking a temporary Operations Assistant for a 12-month contract, starting approximately on 6th April 2026. This role is based in the Isle of Man, and the successful candidate will work as part of a small team, managing a variety of tasks including document management, reception duties, and supporting operational areas of the business. The role involves being the primary point of contact for visitors and clients, ensuring that a high standard of service is maintained in all interactions. This position also includes answering general incoming calls professionally and performing administrative duties to assist with regulatory compliance. The ideal candidate will be driven, detail-oriented, and committed to delivering tasks on time.

Job Duties:

  • Greet all visitors to the Isle of Man office, delivering high-quality service and managing visitor passes.
  • Arrange meeting rooms, manage the front office area, and oversee relevant arrangements such as taxis and refreshments.
  • Answer all incoming general calls, ensuring excellent communication at all times.
  • Ensure accurate recording of time and prompt submission of timesheets.
  • Support compliance with local regulatory requirements, including ID&V and health and safety.
  • Open and scan all incoming mail and send daily reports to staff.
  • Scan bank statements and reconciliations to the administration system.
  • Conduct general photocopying, scanning, filing, and binding tasks.
  • Prepare and maintain files for new business and company/trust transfers.
  • Assist with archiving files and managing retrievals from the archive storage facility.
  • Organise internal and external training sessions, including booking rooms and coordinating with third parties.
  • Support the onboarding and offboarding processes for staff members.
  • Manage all facilities matters for the office building, including office supplies.
  • Complete the annual audit of company seals.

Job Requirements:

  • Experience within the finance industry is beneficial but not essential; relevant transferable skills will also be considered.
  • Strong proficiency in document management and scanning.
  • Experience in a Reception role is desirable.
  • Excellent verbal and written communication skills in English.
  • Ability to work with a sense of urgency and determination, demonstrating initiative.
  • Flexible and professional under time-driven pressures, with strong prioritisation and time management skills.
  • Self-motivated and focused on exceeding targets and goals.
