Senior Administrator, Private Clients

The Senior Administrator, Private Clients will take charge of the daily administration for a portfolio of Guernsey trusts and companies, ensuring high-quality fiduciary services and an exceptional client experience. This role encompasses the complete oversight of client instructions, maintaining accurate records, and ensuring compliance with Guernsey regulatory requirements, including AML/CFT obligations. Additionally, the position entails collaboration with internal stakeholders and external advisers for effective transaction progress, accurate record-keeping, and meeting statutory deadlines. The individual will manage cash flows, oversee payment processing, and work closely with the Accounts team on bookkeeping and annual accounts preparation. It is also crucial to support timely fee collection and address compliance reviews. The successful candidate will remain informed of industry developments and have the opportunity to deputise for the Assistant Manager when required, contributing to the delivery of consistent service standards.

Job Duties:

  • Lead the administration of a portfolio of private client trust and company structures, ensuring precise execution of client instructions.
  • Maintain complete, orderly, and up-to-date client records, including drafting minutes and meeting notes to a high standard.
  • Coordinate with lawyers, accountants, tax advisers, and banks to support the ongoing management of complex private client matters.
  • Oversee cash management and payment processing, ensuring tasks are completed accurately and punctually.
  • Partner with the Accounts team to assist in bookkeeping and preparation of annual accounts, ensuring compliance with timelines.
  • Monitor and respond to fee collection, proactively following up on outstanding debts as per internal processes.
  • Address compliance and file review points promptly, working alongside the Assistant Manager/Manager and other relevant control functions.
  • Ensure timely completion of annual tax filings and AEOI reporting, adhering to legislative and regulatory deadlines.
  • Remain updated on Guernsey fiduciary and private client industry developments, escalating risks and process improvement opportunities as they arise.
  • Deputise for the Assistant Manager as necessary to support team effectiveness and service delivery.

Job Requirements:

  • Relevant experience in a regulated fiduciary, financial services, or professional services environment (particularly in private clients, trust and company administration).
  • Strong organisational and time-management skills to manage competing deadlines and maintain high client service standards.
  • Working knowledge of Guernsey regulatory expectations for fiduciary services, including AML/CFT and governance requirements.
  • Effective written communication skills, including adeptness in drafting minutes and maintaining comprehensive client files.
  • Proficient IT skills, with confidence in utilising core business systems and Microsoft Office applications.
  • A solid educational background (A Levels/Baccalaureate or equivalent), including GCSEs (or equivalent) in English and Mathematics.
