Administrator, Client Services

This role involves working closely with the Client Directors and their team to ensure that all client service functions are delivered efficiently and timely. The Administrator will take specific responsibility for a small portfolio of less complex clients within the client services team. The team operates in semi-autonomous groups, each comprising Client Directors, Managers or Assistant Managers, and Administrators, working collaboratively to ensure exceptional client service which includes management of regulatory adherence, billing, record maintenance, risk management, CDD monitoring, client engagement, and task management. The role may require participation in various business documentation processes and the onboarding of new clients, while also preparing accurate minutes for client transactions. Additionally, daily time recording and meeting chargeable time targets is essential. The Administrator will also engage in cash collections and complete periodic client risk assessments. This role supports personal development, including the achievement of qualifications aligned with the industry’s standards.

Job Duties:

  • Administer a portfolio of trusts, companies, and foundations, liaising with clients, banks, and investment managers as required.
  • Maintain a comprehensive understanding of internal policies, procedures, and codes of conduct, ensuring administration aligns with these guidelines.
  • Adhere to relevant legislation and regulations, with a particular focus on AML/CFT laws.
  • Actively engage in risk disciplines and work in accordance with the organisation's risk appetite.
  • Participate in the DayBox process for reviewing and authorising client activities and transactions.
  • Collaborate with the Client Group to complete new business documentation and support onboarding processes.
  • Prepare accurate minutes for client entity transactions.
  • Charge time daily and accurately using PlainSail, ensuring targets are met.
  • Carry out cash collections related to bills and debt collection in a timely manner.
  • Complete periodic client risk assessments and attend relevant seminars and events.
  • Take responsibility for personal development, meeting CPD requirements in line with performance objectives.
  • Champion and model the organisation's values and behaviours.

Job Requirements:

  • Eligible for registration as a Category C Employee under the Trust Company Business Code of Practice.
  • A minimum of two years' relevant experience.
  • Either holding or actively working towards a Table 5 qualification.
  • Located in Jersey.
  • A willingness to develop a solid understanding of regulatory requirements applicable to the Jersey Trust Company Business.
  • Excellent oral and written communication skills.
  • High levels of accuracy and attention to detail.
  • An enquiring and analytical mindset.
  • Strong task and diary management skills, focused on task completion and delivery.
  • Good interpersonal skills with the confidence to interact with individuals at all seniority levels.
  • Proficient and accurate use of relevant systems.
