Trainee Client Services Administrator

This full-time, permanent role provides an excellent opportunity for individuals looking to start their career in client services administration. The successful candidate will work within a renowned independent provider of fiduciary and corporate services, gaining valuable experience in a collaborative environment. The primary responsibilities will include shadowing qualified colleagues and assisting with the administration of a portfolio of trust and company clients. Tasks will encompass general administrative duties such as setting up and maintaining client and entity records, preparing statutory documents, and assisting with client reporting. The individual will also contribute to the development of the organisation’s procedures and best practices while ensuring compliance with regulatory standards. A proactive approach, strong communication skills, and a keen eye for detail will be essential in this varied role.

Job Duties:

  • Shadow qualified colleagues to assist with basic client administration.
  • Set up and maintain client and entity records.
  • Maintain statutory records, both electronic and paper-based.
  • Prepare board minutes, corporate authorities, and shareholder resolutions.
  • Draft bank instructions and related workflows.
  • Prepare statutory returns and manage invoicing for client entities.
  • Maintain financial records and assist with bookkeeping.
  • Assist with client reporting and respond to queries from clients and advisors.
  • Prepare materials for internal and external meetings.
  • Contribute to the ongoing development of precedents, policies, and procedures.
  • Ensure compliance with statutory, regulatory, and best practice guidelines regarding Trust and Company administration.
  • Provide general assistance to ensure efficient office operations and timely client service.

Job Requirements:

  • A-level or equivalent education is desired.
  • Proactive and methodical work ethic with excellent attention to detail.
  • Ability to work to high standards aligned with organisational policies and procedures.
  • Technical aptitude, willing to undertake further studies if needed.
  • Responsive to colleagues, clients, and new business inquiries.
  • Open to developing new initiatives to enhance client experiences.
  • Motivated to deliver efficient and effective services.
