The role of the contract Receptionist is pivotal in delivering high-quality patient services within a dynamic environment. This position is temporary, running from September to October. The post holder is responsible for providing an exceptional reception service, fostering effective communication with patients, relatives, consultants, clients, and staff. This role requires a warm and professional demeanor to create excellent first impressions and maintain the smooth running of the reception department. Effective communication skills are essential for interaction with various stakeholders, including health professionals and external agencies. The post holder must demonstrate initiative and adaptability while performing a variety of administrative and reception duties, often requiring discretion and diplomacy, particularly in sensitive situations.
Job Duties:
- Provide a warm, professional welcome to all stakeholders, acting as an ambassador for the organisation.
- Manage visitor badges and maintain logs for security purposes.
- Handle incoming calls efficiently and empathetically, forwarding messages in a timely manner.
- Prioritise telephone calls alongside face-to-face enquiries and assist anxious patients as needed.
- Maintain cleanliness and tidiness in reception and waiting areas to ensure a welcoming environment.
- Work autonomously and confidently within a small team, using problem-solving skills to facilitate the reception service's smooth operation.
- Register new patients, ensuring compliance with organisational requirements.
- Coordinate requests for transportation and manage deliveries.
- Record and relay information regarding tasks to colleagues accordingly.
- Ensure all tasks are completed prior to handover to colleagues, maintaining documentation standards.
- Cover for colleagues during annual or sick leave as directed by a line manager.
- Perform any other duties that are commensurate with the role.
Job Requirements:
- Previous receptionist experience is desirable.
- Excellent organisational and time management skills.
- Proficiency in Microsoft Office applications.
- Strong communication skills, both verbal and written.
- A polite and professional telephone manner.
- Ability to handle sensitive situations with empathy and care.
- Proven capacity to organise, prioritise workload, and manage time effectively.
