Senior Administrator, Fund Operations

This role presents an exciting opportunity to join a newly established Fund Operations team as a Senior Administrator. The ideal candidate will report directly to the Fund Services Operations Manager and will be expected to quickly grasp and manage the standard components of the role. This initial responsibility will create capacity to engage in various change projects within the Fund Services team. The role requires a strong commitment to continuous learning, exceptional organisational skills, and meticulous attention to detail. The successful individual will thrive in a fast-paced environment and demonstrate the ability to prioritise tasks while maintaining composure under pressure. A proactive approach to personal development and a commitment to effective collaboration with team members are also essential for success in this position.

Job Duties:

  • Work collaboratively with different teams in Fund Services to handle day-to-day administration and controlling responsibilities throughout the life cycles of fund vehicles and portfolio structures.
  • Coordinate and liaise with investors on document execution via DocuSign for onboarding and offboarding, assisting with static data management and associated filing responsibilities.
  • Support data management across core Fund Services systems.
  • Assist with process optimisation and system integration as part of business as usual (BAU) and change projects.
  • Contribute to the implementation and review of policies and procedures to ensure effective controls and efficient system usage, establishing best practices within the industry.
  • Support coordination of ISAE controls audit and contribute to evidence compilation for assurance activities.
  • Remain informed on regulatory developments related to funds, trusts, and companies.
  • Continuously develop skills and knowledge through Continuous Professional Development (CPD).
  • Provide first-line support for Fund Services teams, particularly regarding systems such as DealPlus and Viewpoint.
  • Engage in data integrity, migration, and integration processes, troubleshoot issues, and generate reports for system users.
  • Involvement in the full lifecycle of change projects, ensuring compliance with corporate governance and operational goals.

Job Requirements:

  • Strong understanding of investments, funds, treasury functions, and related terminology.
  • IT literate, with experience in all Microsoft applications (Outlook, Word, Excel, etc.).
  • Familiarity with Jersey and Luxembourg fund and SPV structures.
  • Previous experience in administration, company secretarial, or corporate governance within private equity/alternatives or fiduciary services is advantageous.
  • Excellent organisational skills, with the ability to prioritise workload and manage multiple tasks.
  • High attention to detail and disciplined documentation habits.
  • Strong verbal and written communication skills, capable of engaging with all stakeholders effectively.
  • Professional, motivated, and efficient work ethic.
  • Adaptability to changing requirements and ownership of responsibilities across defined portfolios.
  • Strong analytical and problem-solving skills, with a continuous improvement mindset.
