The role of Senior Administrator within the established family office involves providing comprehensive administrative support as well as managing relationships with a varied client portfolio. Responsibilities include overseeing complex transactions under the guidance of designated superiors, managing the onboarding process for new clients, and ensuring proper KYC documentation is collected. The Senior Administrator will maintain an up-to-date task list for the client portfolio while reporting on outstanding matters during team meetings. Additionally, this position requires active involvement in supervising junior staff, offering training and technical support as needed. The role is committed to delivering quality and efficient services, liaising with clients, and maintaining corporate records and databases. Job Duties:
- Provide quality service to a varied client portfolio, collaborating closely with superiors.
- Undertake general administration tasks with minimal supervision.
- Supervise junior team members and delegate tasks related to the portfolio.
- Liaise with clients, client advisors, and bankers on administrative matters.
- Coordinate with third parties, including lawyers, auditors, property and investment managers as required.
- Prepare general correspondence such as emails and letters for superior review.
- Ensure timely filing of documents in accordance with organisational policy.
- Maintain corporate records and manage respective database administration.
- Co-ordinate meetings and take minutes during discussions.
- Manage transactions associated with property acquisition/disposal and refinancing.
- Oversee due diligence and procedures for customer onboarding.
- Monitor and maintain task lists to ensure timely completion of workload.
- Collaborate with the accounts team to meet customer deadlines.
- Provide general administrative assistance to the team as required.
- Ensure accurate recording of personal time and review team time recording for accuracy and compliance.
- Conduct reviews of WIP on client portfolios to ensure all fees are appropriately considered.
- Review client invoices and circulate for approval.
- Attend additional training sessions as provided by the organisation.
Job Requirements:
- Minimum of 4 years’ experience in the finance industry.
- Experience in mentoring and coaching junior team members on a one-to-one basis.
- Maintenance of mandatory AML training as required.
- Possession of a professional Table 4 qualification such as ICSA / STEP Diploma or equivalent.
