Our client is seeking a Trust Officer to provide administrative support to the trust administration teams in the ongoing management of trust and company structures. This role aims to ensure a high standard of service to clients while collaborating with all relevant functions. The position is full-time and offers a diverse range of responsibilities supporting a varied portfolio of entities.
JOB DUTIES:
- Attend to clients’ needs in a timely and professional manner, maintaining knowledge and control over managed assets and activities.
- Take responsibility for a portfolio of low-risk, non-complex trusts, companies, foundations, and other entities, ensuring data is maintained and relevant.
- Act as a primary point of contact for designated clients and intermediaries.
- Build and maintain client relationships under the oversight of senior management.
- Review statutory documents and procedures relating to client/internal requests and suggest changes as needed.
- Exercise judgement in the routine administration of trust and company structures, escalating issues to senior team members where appropriate.
- Identify, assess, and manage routine risks, escalating complex or high-risk matters as necessary.
- Ensure Client Due Diligence (CDD), reviews, and ongoing monitoring are completed accurately and within deadlines.
- Prepare minutes, resolutions, and other related documents of a non-complex nature for management review.
- Prepare application forms for banking and investment accounts, along with associated documentation for client entities.
- Assist with managing the team’s In-tray and ensure timely handling of all mail and urgent matters are brought to the manager’s attention.
- Accurately record time on a daily basis with comprehensive narrative descriptions and correct activity codes.
- File documents according to established procedures outlined in the Procedures Manuals.
- Advise senior team members of any deficiencies identified in statutory records.
- Resolve action points raised by periodic reviews based on a risk-based approach in a timely manner.
- Adhere to internal control policies and procedures, along with statutory guidelines as applicable to the role.
- Collaborate with other departments to facilitate service delivery to clients.
- Perform various computer input tasks as delegated.
- Support senior team members in relationship tasks, including bank account opening, fee billing, and review points.
- Assist with meeting debt collection targets and the billing process.
- Engage in other assigned projects and duties deemed appropriate for the role.
- Assist senior team members in training Assistant Trust Officers and supporting all trainees within the team.
JOB REQUIREMENTS:
- Minimum of two years of experience in trust administration or a similar regulated business.
- Familiarity with trust and company administration practices.
- Good awareness of Jersey local trust and company legislation, including knowledge of Anti-Money Laundering laws and orders.
- Strong attention to detail.
- Ability to work effectively both independently and as part of a team.
- Strong time management and organisational skills, with the capability to meet deadlines.
- Competency in Microsoft Office packages; training will be provided for other in-house systems as required.
- Demonstrate compliance with APTC values and behaviours, as well as the Client Service Charter.
