Workplace Operations Administrator

Our client is offering an exciting full-time opportunity for a Workplace Operations Administrator based in Guernsey. This role is a vital part of the Operations Team, focused on enhancing the client and visitor experience within the workplace environment. The successful candidate will have the opportunity to work closely with local operational support teams, ensuring a safe and functional space. Your role will encompass a range of physical, technological, and administrative responsibilities, contributing to the overall efficiency of workplace operations. The position is suitable for an Associate with some relevant experience or a more seasoned Senior Associate, preferably with a background in health and safety. Candidates should possess strong communication skills, the ability to multitask, and have a proactive attitude.

JOB DUTIES:

  • Act as the welcoming face for all visitors and clients, providing a courteous and prompt greeting upon arrival.
  • Maintain effective communication about visitor arrivals, ensuring they are met or guided to the appropriate areas in a timely manner.
  • Manage relationships with suppliers, keeping 3rd party supply records updated.
  • Stay informed about relevant health and safety legislation and act upon any issues that arise.
  • Ensure an exceptional standard of service is provided to visitors and staff at all times.
  • Conduct room status checks for conference and meeting rooms, ensuring AV/IT facilities are operational and escalating issues as needed.
  • Manage the booking and utilisation of meeting rooms, resolving conflicts and coordinating video/audio conference calls.
  • Monitor and maintain appropriate levels of office and kitchen supplies.
  • Oversee the distribution of mail and deliveries, ensuring timely management of correspondence.
  • Support finance with maintaining records of deliveries, invoices, and other administrative tasks.
  • Ensure accurate and timely completion of timesheets in accordance with the firm's policies.
  • Provide administrative support to all staff as required, handling unplanned/emergency absences to ensure seamless service.
  • Collaborate with the Workplace Operations team to maintain office appearance and cleanliness.
  • Support office maintenance and reporting as needed, coordinating with contractors for any necessary repairs.
  • Assist with general office queries and provide support to the IT team regarding copier/printer operations.
  • Remain vigilant regarding security issues and ensure compliance with safety protocols.
  • Assist in the management and support of events when required.
  • Engage with firm-wide initiatives to promote a strong collaborative culture within the operations team.

JOB REQUIREMENTS:

  • Hold the legal right to live and work in Guernsey.
  • Previous experience in a workplace operations or customer service role is desirable.
  • Demonstrate strong interpersonal skills with the ability to build and maintain trusted relationships.
  • Exhibit a positive and enthusiastic attitude with a strong desire for self-development.
  • Possess excellent communication and organisational skills.
  • Manage multiple priorities and work effectively under pressure while maintaining attention to detail.
  • Display a proactive and adaptable approach to work tasks, including some physical responsibilities.
  • Basic knowledge of Microsoft Excel and Word is required.
  • Knowledge of health and safety legislation is desirable.
  • Professional conduct, including discretion and confidentiality, is essential.
