Our client is seeking a temporary Office Services Coordinator to join their team for a duration of six months. This role is based in St. Helier and is a full-time position. The Office Services Coordinator plays a pivotal role in ensuring the effective day-to-day operations of the organisation by coordinating office services, supporting meetings and events, maintaining essential resources, and facilitating business travel. You will enable your colleagues to focus on the organisation's objectives by providing a high standard of service for stakeholders and visitors. You will be part of a dynamic team that supports core business functions and enhances the workplace environment, while also ensuring compliance with important regulations. JOB DUTIES:
- Coordinate and facilitate meetings, seminars, lunches, and other events to ensure smooth operations and engage participants effectively.
- Maintain meeting rooms with the necessary supplies, monitor stock levels, and replenish items promptly.
- Keep accurate and up-to-date office access records to support security and effective management.
- Provide consistent administrative support across the division, offering reliable cover for secretarial activities when necessary.
- Ensure kitchen supplies and other consumables are adequately stocked through effective inventory monitoring and record-keeping.
- Arrange travel and hotel accommodation for staff in line with the organisation’s travel guidelines, contributing to their welfare during out-of-office engagements.
- Foster a well-organised, professional, and welcoming environment for colleagues, stakeholders, and visitors.
JOB REQUIREMENTS:
- Demonstrated effective communication and interpersonal skills are essential.
- A good working knowledge of the Microsoft Office suite is required.
- Ability to adapt and apply new knowledge to various work situations while maintaining a high standard of professionalism and meticulous attention to detail.
- Strong planning and organisational skills, with the ability to manage multiple priorities and respond effectively to changing demands.
