Our client is seeking a skilled Senior Administrator to join their Corporate Client Services Support team. This full-time position is essential for delivering a comprehensive range of customer due diligence (CDD) and company secretarial services to client-facing teams, ensuring compliance with internal policies, legal regulations, and corporate governance frameworks. The successful candidate will maintain accurate and up-to-date statutory records and ensure that all corporate documentation adheres to governance standards. You will be instrumental in applying these requirements consistently across all company secretarial activities, thus contributing to strong governance and risk mitigation. JOB DUTIES:
- Maintain accurate and up-to-date statutory records for client entities and ensure the completeness and integrity of corporate documentation.
- Ensure statutory registers, filings, and corporate records comply with internal governance standards and relevant legal requirements.
- Draft and review minutes, written resolutions, and corporate documentation in line with the required standards.
- Manage statutory filings with the local registry, ensuring accuracy, completeness, and timely submissions.
- Maintain and update statutory and anti-money laundering (AML) data within client systems, aligning it with underlying legal documentation.
- Undertake timely updates to entity statutory data, including directors, officers, and registered details.
- Maintain and update share registers and ownership records, ensuring movements are authorised and properly documented.
- Review and process CDD for individuals and corporate vehicles related to customer entity structures.
- Apply an understanding of the three-tier test and AML handbook laws, particularly regarding exemptions under article 18.
- Implement a controlled approach to system updates, ensuring integrity and consistency across records while maintaining a clear audit trail.
- Identify, investigate, and resolve discrepancies in statutory data, escalating issues when necessary.
- Ensure all activities align with internal policies, control frameworks, and regulatory requirements while maintaining a risk-aware approach.
- Act as a point of contact for company secretarial inquiries, providing guidance and support to colleagues.
- Apply commercial awareness and sound judgment to support client structures and transactions effectively.
- Mentor and support junior team members, sharing knowledge and fostering professional development.
- Assist Managers and Directors in identifying risks, issues, and opportunities for improvement, proposing actionable solutions.
- Manage competing priorities and deliver high-quality outputs within set deadlines.
- Contribute to process enhancements and statutory projects, ensuring continuous improvement in service delivery.
- Ensure accuracy, consistency, and compliance in all outputs.
- Accurately record time in the company’s time recording system, completing any other tasks as required by management.
JOB REQUIREMENTS:
- Previous experience in a corporate administration role is essential, preferably within a similar sector.
- Strong understanding of CDD, company secretarial duties, and applicable legal and regulatory requirements.
- Excellent attention to detail and the ability to maintain high standards of accuracy and compliance.
- Proven experience in drafting corporate documents, minutes, and resolutions.
- Strong organisational skills and the ability to manage multiple tasks effectively under pressure.
- Excellent communication and interpersonal skills, with an aptitude for mentoring and supporting junior staff.
- A proactive approach to identifying risks and proposing improvements.
- Familiarity with jurisdictional regulations and fiduciary requirements is necessary.
- Proficiency in Microsoft Office and relevant administrative software is required.
