Our client is seeking a skilled Senior Administrator to join their Real Estate team based in Jersey. This full-time position plays a vital role in delivering a range of administrative services to a diverse portfolio of Real Estate clients and related entities. Under the guidance of a senior team member, you will manage workloads to ensure that client requests are handled promptly. Your responsibilities will include the formation and ongoing administration of various entities, maintaining statutory records, and ensuring compliance with applicable laws. JOB DUTIES:
- Manage the formation and ongoing administration of companies, Jersey Property Unit Trusts, and Limited Partnerships to facilitate effective oversight of property portfolios.
- Prepare minutes, resolutions, and correspondence, ensuring the timely execution of documentation and compliance with statutory filings.
- Process payments, reconcile payment logs, and manage approvals to maintain accurate financial records.
- Produce and circulate client invoices, ensuring timely collection of fees and follow-up on outstanding debts.
- Identify and support the team with additional responsibilities and administrative tasks as required by your manager or clients.
- Assist in mentoring Trainee Administrators, providing constructive feedback and identifying any additional training needs.
- Maintain a strong commitment to data integrity, ensuring attention to detail while utilising systems to enhance efficiency and client service.
- Advocate for a culture of process improvement and consistency within the team by identifying and suggesting enhancements to operational processes.
- Comply with all relevant laws, regulations, and internal policies, including anti-money laundering measures and reporting of suspicious activity.
JOB REQUIREMENTS:
- A minimum of 3-5 years’ relevant experience in the finance industry; prior experience in Real Estate is preferred but not essential.
- Strong academic background, ideally with a Bachelor’s degree or equivalent; working towards or holding a professional qualification such as CGI IFA Level 4 or 5 is advantageous.
- Excellent written and verbal communication skills with a working knowledge of the MS Office suite (Outlook, Word, Excel, PowerPoint); familiarity with Viewpoint would be a plus.
- Good understanding of applicable statutory laws and regulatory requirements, including anti-money laundering regulations.
- Experience working with Jersey structures is desirable.
- Strong organisational skills and attention to detail with a client-focused approach.
- Ability to work independently, using initiative to manage tasks effectively.
