Corporate Secretariat, Senior Administrator

The role of Corporate Secretariat at Senior Administrator level presents an exciting opportunity for an enthusiastic individual to develop their Company Secretarial skills under the guidance of the firm’s Company Secretary. The job involves providing statutory secretarial services across multi-jurisdictional frameworks, including Guernsey, Switzerland, Cayman, and Dubai. The successful candidate will support Board management activities, assist with governance-related projects, and maintain strong relationships with board members. This position is full-time and offers the opportunity for continuous professional development and training.

Job Duties:

  • Provide statutory secretarial services for multiple jurisdictions and in-house companies, including day-to-day minute-taking.
  • Assist with Board meeting management, including scheduling meetings and preparing agendas for timely distribution of board papers.
  • Ensure clarity and effectiveness of communication within board papers and provide guidance on their content and structure.
  • Develop and maintain strong, proactive relationships with board members, serving as a key source of information and advice.
  • Record board decisions clearly and accurately and track action points, ensuring comprehensive documentation of discussions and resolutions.
  • Communicate board decisions to the relevant management team members through quarterly and ad-hoc minutes.
  • May contribute to developing and maintaining a corporate governance improvement plan, ensuring regular reviews based on board evaluations.

Job Requirements:

  • A sound understanding of multi-jurisdictional statutory requirements with experience in statutory secretarial services.
  • Studying towards a relevant qualification (CGI/STEP or equivalent) is preferred, alongside meeting CPD requirements.
  • Effective communication skills with the ability to adapt style to suit various audiences.
  • Capable of identifying and resolving non-complex issues, with appropriate support.
  • Ability to prioritise tasks and meet deadlines while proposing solutions to straightforward problems.
  • A positive and committed team player, understanding the importance of collaboration to provide excellent client service.
