Our client is seeking a temporary Senior Administrator to provide high-quality administration services to a portfolio of fund structures and related entities. This role will ensure compliance with relevant regulatory requirements, fund documentation, service level agreements, and internal procedures. Situated in a collaborative environment, the Senior Administrator will oversee the day-to-day administration of complex structures, supervise junior team members, and act as a key contact for clients and professional advisers. This position offers an initial contract of 3 to 6 months with the possibility of extension.
JOB DUTIES:
- Manage a portfolio of regulated and unregulated fund structures and associated entities.
- Coordinate all aspects of fund administration activities.
- Prepare and review investor subscriptions, redemptions, transfers, and distributions.
- Maintain investor registers and related records.
- Process capital calls, drawdowns, and distribution payments.
- Assist with net asset value (NAV) production and review supporting calculations.
- Monitor and maintain cash positions and payment schedules.
- Arrange board and investor meetings in collaboration with the Company Secretary, covering in their absence.
- Prepare board packs and meeting materials.
- Draft and maintain board minutes and written resolutions.
- Maintain statutory records, registers, and corporate documentation.
- Coordinate regulatory and statutory filings.
- Ensure compliance with fund constitutive documents and applicable regulations.
- Monitor completion of anti-money laundering (AML)/counter-terrorist financing (CFT) and beneficial ownership requirements.
- Escalate compliance breaches, operational risks, or client concerns.
- Support regulatory reporting and information requests.
- Act as the primary day-to-day contact for allocated clients.
- Build and maintain professional relationships with directors, investors, and advisers.
- Respond to client queries in a timely and professional manner.
- Attend client meetings and participate in service review discussions.
- Review invoices and fund expenses.
- Coordinate payment approvals and banking transactions.
- Assist with audit processes and year-end reporting.
- Liaise with accountants regarding financial statements and supporting documentation.
JOB REQUIREMENTS:
- Minimum 5 years' experience within fund administration, fiduciary services, or financial services is essential.
- Knowledge of closed-ended and open-ended fund structures.
- Understanding of Guernsey regulatory and corporate governance requirements.
- Experience dealing directly with clients and professional advisers.
- Strong understanding of AML/CFT obligations.
- Experience preparing board materials and maintaining statutory records.
- Desirable experience administering private equity, venture capital, real estate, or investment holding structures.
- Familiarity with fund accounting systems and investor reporting platforms.
- Knowledge of Guernsey Financial Services Commission (GFSC) regulatory requirements.
- Professional qualification such as ICSA/CGI, ACCA, ACA, or STEP is an advantage.
